A secure, API-led platform that standardized service delivery, approvals, and management reporting across six locations.
Replacing fragmented project controls with one governed operations platform
Nova Engineering Technologies delivers technical projects and managed services from six regional locations. Project planning, timesheets, purchase requests, resource allocation, and customer milestones were managed in separate spreadsheets and internal tools. Managers lacked a consistent view of delivery risk, while duplicate data and email approvals delayed billing.
The company needed a secure platform that could support 280 employees, preserve location-specific controls, and exchange data with its accounting and identity systems. The technical challenge was consolidating inconsistent records without interrupting active projects or weakening access boundaries between business units.
Nova selected echoBitz after a solution workshop demonstrated a phased architecture, practical migration controls, and clear ownership of testing and deployment. The goal was to standardize core operations while retaining enough flexibility for different project types and approval limits.
What We Did
- Conducted process discovery and fit-gap analysis across project delivery, resource planning, procurement, timesheets, billing milestones, and management reporting.
- Built a modular platform with authenticated microservices for projects, resources, approvals, documents, notifications, and operational dashboards.
- Developed REST APIs for the existing accounting application and Microsoft identity service, including validation, retry handling, audit logs, and duplicate prevention.
- Configured role-based security by location, department, project, and approval level, with complete history for financial and operational decisions.
- Migrated active projects, employee assignments, customer records, rate cards, and outstanding approvals through two reconciled trial loads.
- Implemented automated unit, API, permission, and workflow tests, followed by business-led user acceptance testing using live operating scenarios.
- Deployed location by location through a CI/CD pipeline, trained process champions, and provided four weeks of monitored go-live support.
The Results
- Reduced average purchase and project approval time from 31 hours to 11 hours.
- Cut duplicate operational data entry by 58% through validated API exchanges.
- Shortened monthly project reporting preparation from four working days to one.
- Provided real-time visibility into resource utilization, milestone risk, and unbilled work across all six locations.
- Achieved 92% active-user adoption within the first eight weeks after rollout.
